We are seeking a highly organised and efficient Personal Assistant & Office Manager to join our team. The ideal candidate will be an effective communicator with extensive experience in Microsoft Office applications and diary management through Outlook across multiple locations. This role involves supporting the management team with their schedules, handling travel arrangements, and ensuring the smooth operation of the office environment and line management of our office coordinator. The ability to handle multiple senior stakeholders diaries is key for this role and takes priority over the other tasks.
Key Responsibilities: 
Diary Management: 
  • Coordinate and manage diaries for members of the management team. 
  • Schedule meetings and appointments across various locations, ensuring optimal use of time. 
Travel Coordination: 
  • Arrange travel logistics for selected members of the management team. 
  • Ensure travel plans are made and communicated in a timely manner. 
Office Coordination: 
  • Directly manage the Office Coordinator to maintain an efficient and productive office environment. 
  • Ensure all office facilities are well-maintained and operational. 
  • Effective line management, develop and support the Office Coordinator to support the office management as required. 
Cross-functional Collaboration & Support: 
  • Collaborate with various departments to support the onboarding process for new team members. 
  • Ensure new employees are equipped with the necessary resources and information. 
Budget Management: 
  • Manage the office budget, including monitoring expenses and optimizing cost-efficiency. 
Event Planning: 
  • Organize and coordinate meetings, events, and functions for our employees as required by management. 
Invoice Management: 
  • Respond to invoice queries promptly. 
  • Ensure providers’ invoices are processed and paid in a timely manner. 
Ad-hoc Tasks: 
  • Perform additional tasks as needed to ensure the smooth running of management diaries and office operations across the Gibraltar offices. 
Required skills and experience: 
  • Communication: Exceptional written and verbal communication skills. 
  • Microsoft Office Proficiency: Advanced knowledge of Microsoft Office applications, particularly Outlook, Word, Excel, and PowerPoint.
  • Organizational Skills: Strong ability to multitask, prioritize, and manage time effectively.
  • Attention to Detail: Keen eye for detail to ensure accuracy and completeness in all tasks.
  • Problem-Solving: Ability to anticipate issues and implement solutions proactively.
  • Team Management: Experience managing a small team or providing supervision.
  • Flexibility: Willingness to adapt to changing priorities and handle various tasks as required.
Preferred Qualifications: 
  • Previous experience in a similar Office Manager or PA role.
  • Experience in managing office budgets and financial administration and provider relationships
  • Knowledge of office facilities management
